Your Dashboards Look Fine

Your Dashboards Look Fine
— Until Someone Asks This One Question

You’ve got dashboards. Your team’s got data.
The numbers load fast, the charts look clean, and the KPIs are all green.
So why does every meeting still end with someone saying,
“Wait — where did that number come from?”
This isn’t a design issue. It’s a trust issue.

Most industrial companies we meet already have reporting tools.
What they don’t have is a reporting model that holds up when decisions get serious.
Here’s the one question that exposes it every time:
“Can we trace this number back to its raw source, across all departments — and would everyone agree with how it was calculated?”
If the answer is silence, contradiction, or a last-minute spreadsheet patch…
you don’t have clarity. You have a pretty interface over a fragmented stack.

Here’s what’s usually going wrong:

  • Different teams define KPIs differently One team counts “qualified leads” by intent. Another by stage. Leadership assumes both are using the same logic.
  • Data pulls from siloed systems Marketing pulls from HubSpot. Sales pulls from Excel. Finance pulls from the ERP. None of them sync in real time.
  • IT wasn’t part of the reporting design  Dashboards get pushed live without validating integration depth or data ownership.
  • There’s no shared model of truth The business runs on blended assumptions, not aligned definitions.

What to do instead:

  • Start with definitions, not design Before building reports, define what each metric means — across all functions. Document it. Lock it.
  • Build dashboards only after unifying sources Connect your data properly. Don’t visualize chaos.
  • Involve IT early Reporting isn’t a BI task — it’s a data architecture decision. Treat it like one.
  • Test your numbers under pressure Pick a high-stakes KPI and ask:
“Where does this number come from?”
“Would Marketing, Sales, and Finance all answer the same way?”
“Could our board verify it in 5 minutes?”

If not — you’re not ready to scale reporting.
You’re ready to rethink it.
